1. Application Overview & Version Details

Overview

LoungeOS is point of sale and business management software for every kind of business that sells: restaurants, bars, lounges, cafés, nightclubs, hotels, retail shops, supermarkets and more. Orders, kitchen and bar screens, payments, receipts, inventory, expenses, accounting, staff and reports are in one place, so you don't need a separate program for each job.

LoungeOS is made by Sigalix, a custom software company.

Platform Availability & App Versions

  • Current version: 2.0.0
  • One account everywhere: the same LoungeOS account works in the web app and in the Windows, Mac and Android apps.
  • Windows app: Windows 10 and 11, 64-bit. Download the installer. It keeps your business data on the computer too, keeps selling without internet and syncs when the connection comes back.
  • Mac app: one version for Apple Silicon (M1 and later) and one for Intel Macs. It works offline like the Windows app.
  • Android app: APK download for Android 6.0 or later. Needs Chrome and internet.
  • Web app: app.loungeos.app in any modern browser. Needs internet.
  • Languages: English and French.
  • All downloads: see the download page.

What's New in Version 2.0

  • A setup wizard that configures your business on day one.
  • Staff invitations by email, with a quick PIN for shared tills.
  • A cloud copy of all your data, with daily full backups.
  • Plans, invoices and payments in one place at account.loungeos.app, with a 14-day free trial on every plan.

3. Getting Started: Account, Setup Wizard & Apps

Overview

Getting started takes a few minutes, and there are no keys or codes to copy.

  1. Create your LoungeOS account.
  2. Follow the setup wizard.
  3. Install the Windows, Mac or Android app if you want one, and sign in.
  4. Invite your staff.

Every plan starts with a 14-day free trial with Business features. No payment up front.

Step 1: Create Your Account

  1. Go to app.loungeos.app. Sign-up is on the sign-in page.
  2. Create your account with your email and a password, or click Continue with Google.
  3. You are now the owner of your business in LoungeOS. Each person has their own account, so your staff get theirs when you invite them (see Staff, Roles & Permissions).

Step 2: Follow the Setup Wizard

After sign-up, a setup wizard asks for:

  • your business type
  • your business name and logo
  • your currency and taxes
  • the payment methods you accept
  • your opening hours

It then suggests categories for your menu, inventory and expenses. Tick the ones you want, and LoungeOS is configured on day one. You can change all of this later.

Step 3: Install the Windows App

  1. Download the Windows installer: LoungeOS-Setup.exe (Windows 10 and 11, 64-bit).
  2. Double-click the installer and follow the steps. A LoungeOS shortcut is added to your Desktop and Start Menu.
  3. Open LoungeOS and sign in with your LoungeOS account.

The Windows app keeps your business data on the computer too, keeps selling without internet and syncs when the connection comes back.

Install the Mac App

  1. Download the version for your Mac: Apple Silicon (M1 and later) or Intel. To check, open the Apple menu > About This Mac.
  2. Double-click the .dmg file and drag the LoungeOS icon into your Applications folder.
  3. Open LoungeOS and sign in with your LoungeOS account.

The Mac app is not yet notarised by Apple. If macOS says LoungeOS cannot be opened, open System Settings > Privacy & Security and click Open Anyway. You can also right-click the app and choose Open.

Install the Android App

  1. Download the Android app: LoungeOS-Android.apk (Android 6.0 or later).
  2. Open the downloaded file. When Android asks, allow installing apps from your browser or files app.
  3. Open LoungeOS and sign in with your LoungeOS account.

The Android app needs Chrome and an internet connection.

Use the Web App

Open app.loungeos.app in any modern browser and sign in. There is nothing to install. The web app needs internet.

4. Staff, Roles & Permissions

Invite Your Staff

The owner invites staff by email. Each person signs in with their own LoungeOS account.

  1. Open Staff in the sidebar and add the team member with their name and email address.
  2. Choose their Role (for example Waiter, Cashier, Chef, Bartender or Accountant) and adjust their permissions if needed.
  3. If the role is Waiter, select their assigned Floor. They then only see the tables on that floor.
  4. LoungeOS sends them an invitation by email. They accept it and sign in with their own LoungeOS account, using their email and a password or Continue with Google.

Quick PIN on a Shared Till

When several people share one till, staff can use a quick PIN instead of typing their email and password each time they take over the till.

Roles & Permissions Matrix

LoungeOS comes with these roles. The owner can set the role and permissions of each staff member.

  • Session Auto-Timeout: Inactive sessions expire after 2 hours, protecting screens left unattended.
  • Activity Log: every login, change and cancellation is recorded with the staff member's name.

5. Step-by-Step Initial Setup Workflow

Overview

The setup wizard does most of the work. Then finish your setup in this order:

  1. Check your categories.
  2. Add your menu items and products.
  3. Set up floors and tables, if you serve at tables.
  4. Check your payment methods and receipt printer.
  5. Invite your staff.

Step 1: Menu Categories Configuration

Categories group items on the point of sale grid and decide which preparation screen an order goes to. The setup wizard suggests categories; you can add or edit them at any time.

  1. Sign in as the owner or a manager and select Categories from the sidebar.
  2. Click Add Category (e.g. "Main Dishes", "Desserts", "Cocktails", "Soft Drinks", "Wines").
  3. Select an icon for the category card.
  4. Food or drink: tick "This is a food category" if the items are prepared in the kitchen. Leave it unticked for drinks.

How it works: items marked as food go to the Kitchen Display (KDS). Drinks go to the Bar Display (BDS).

Step 2: Add Menu Items & Products

Set up the products you sell.

  1. Open Menu or Meals in the sidebar.
  2. Click Add Menu Item.
  3. Fill in the details:
    • Name: e.g. "Beef Burger" or "Club Sandwich"
    • Category: one of your categories.
    • Price: the selling price, in your currency.
    • Available Quantity: the quantity on hand. When it reaches zero, the item shows as "Out of Stock" on the POS grid and cannot be selected.
    • Image: a clear photo, up to 5 MB. It is cropped to a square for the POS grid and stored securely in the cloud.
  4. Variations: add sizes or options (e.g. "Single" or "Double" portion) with their own price additions.

Step 3: Establish Floors & Tables

Set up the layout of your venue. If you don't serve at tables (for example in a retail shop), skip this step.

  1. Open Floor Management in the sidebar.
  2. Click Manage Floors and add your seating areas (e.g. "Main Dining Room", "VIP Mezzanine", "Poolside Bar").
  3. Open the Tables page and click Add Table.
  4. Give the table a name or number (e.g. "Table 5"), a seat capacity, and link it to one of your floors.
  5. In Floor Management, drag and drop tables to arrange the layout, or assign waiters to specific floors.

Step 4: Payment Methods & Receipt Printer

Check the payment methods the setup wizard created, add any that are missing, and connect your 58 mm or 80 mm thermal receipt printer. See Payment Methods & Receipts.

Step 5: Invite Your Staff

Invite each team member by email and choose their role. See Staff, Roles & Permissions.

6. Payment Methods & Receipts

Payment Methods You Create

Each business creates its own payment methods, so the till shows exactly the ways your customers pay: cash, MTN Mobile Money, Orange Money, card, bank transfer, or any other method you accept.

  • The setup wizard asks which payment methods you accept and creates them for you.
  • You can add, rename or remove payment methods later in your settings.
  • At checkout, the cashier picks one of your payment methods. A bill can also be split across several methods, for example part cash and part mobile money.

Receipts & Printing

  • Receipts print on 58 mm and 80 mm thermal receipt printers, or as a PDF.
  • Every order has a print button, so you can print a receipt for any order, including past ones.
  • Receipts show your business name, logo and contact details, plus your own header and thank-you message (see System Customization & Settings).

7. Daily Operations & Interactive Workflows

Overview

This section describes the everyday work of waiters, kitchen and bar staff, cashiers and managers during a shift.

Workflow A: Order Placement (Waitstaff)

  1. The waiter opens the Tables dashboard. Tables are color-coded by status:
    • Green: Available.
    • Red: Occupied (has an active order).
    • Orange: Reserved or needs cleaning.
  2. Click a Green (Available) table. The POS screen opens with that table selected.
  3. Select products from the categorized grid. Selected items appear in the order on the right.
  4. Adjust quantities, tap an item to add cooking instructions or notes (e.g. "Medium-rare", "No ice"), or apply discounts.
  5. Tap Place Order.
    • The order status changes to "Pending".
    • The table card turns Red (Occupied).
    • Kitchen items go to the KDS, and drinks go to the BDS.

Workflow B: Order Preparation (Kitchen & Bar Staff)

  1. Chefs open the Kitchen Display (KDS) and bartenders open the Bar Display (BDS).
  2. New tickets appear in the Pending column, oldest first, so no order waits too long. A sound plays when a new order arrives.
  3. When preparation starts, drag the ticket to In Progress (or click "Start" on the card).
  4. When it is ready, move the card to Ready (or click "Mark Ready"). A sound plays at the cashier or waiter station so they can pick it up.
  5. The items stay in the "Ready" column until the bill is paid.

Workflow C: Billing & Checkout (Cashier)

  1. When a table asks for the bill, the cashier or waiter clicks the Red (Occupied) table in the Tables view.
  2. Check all ordered items in the billing summary. If needed, click Modify Order (removing items needs a manager's approval).
  3. Click Charge Order.
  4. Choose one of your payment methods (for example cash, MTN Mobile Money, Orange Money, card or bank transfer):
    • Cash: enter the amount received. LoungeOS shows the change to give back.
    • Mobile money, card or bank transfer: note the transaction reference.
  5. To split the bill, add several payments, for example part cash and part card.
  6. Click Confirm Payment. The sale is recorded and the table goes back to Green (Available). On the Windows and Mac apps the sale is saved even without internet and synced when the connection is back.
  7. Print the receipt on your 58 mm or 80 mm thermal printer, or save it as a PDF.

Workflow D: Splitting & Merging Bills (Manager Only)

Managers can split or merge orders when guests change tables or want separate bills.

  1. Open the Orders screen to see all active, unpaid orders.
  2. To split an order: select it and click Split Order. Tick the items to move, select a destination table and click Confirm Split. The selected items move to a new order on that table.
  3. To merge orders: click Merge Orders, select the source table and the destination table, and click Confirm Merge. The orders are combined, and the source table becomes available.

Workflow E: Cancellations & Reopening Orders (Manager Only)

  1. To cancel an active order, a chef or bartender can drag the ticket to the Cancel Drop Zone at the bottom of the KDS/BDS screen. Waiters can also cancel orders from the POS view.
  2. Every cancellation needs a reason (e.g. "Customer left", "Input error").
  3. All details are saved to the Activity Log.
  4. Reopening an order: if an order was cancelled by mistake, a manager can open the Orders tab, find the cancelled order and reopen it within 24 hours. The ticket goes back to "Pending" and the table is occupied again.

8. Stock & Supplier Management

Overview

LoungeOS helps you manage stock items (drinks, ingredients, packaging or shop products) and see every stock movement.

Inventory Dashboard

Open Inventory in the sidebar to see:

  • Total Stock Value: current quantities on hand multiplied by unit costs.
  • Low Stock Warnings: items that have dropped below their minimum alert level.
  • Out of Stock Lists: red alerts for items with no stock left.
  • Stock Movement Timeline: charts of stock coming in (deliveries) and going out (sales, damage).

Creating Stock Items

  1. On the Inventory page, click Add Stock Item.
  2. Fill in the details:
    • SKU: a unique stock-keeping code (or let LoungeOS create one).
    • Name & Description: e.g. "Heineken Bottle 33cl"
    • Category: e.g. "Beverages", "Spirits", "Containers"
    • Unit of Measurement: e.g. "Bottles", "Boxes", "Liters"
    • Current Stock Level: the quantity you have now.
    • Min/Max Stock Levels: the minimum sets off low-stock alerts.
    • Cost Per Unit: the price you pay the supplier.
    • Supplier: link the item to one of your suppliers.

Stock Movement Transactions

To adjust stock for reasons other than sales:

  1. Select one or more items with the checkboxes and click Bulk Move (or Adjust Stock on a single item).
  2. Select the type of movement:
    • Stock In: a delivery from a supplier. Enter the quantity and unit cost.
    • Stock Out (Damage/Waste/Loss): stock that is broken, spoiled or stolen. This lowers the stock level and records the cost as an operating expense.
    • Cost Correction: fix a cost without changing quantities.
  3. Save. LoungeOS updates the quantities and records the movement in the stock ledger.

Supplier Registry

Keep a list of the suppliers you buy from:

  1. Open Suppliers in the sidebar.
  2. Click Add Supplier and enter their business name, contact person, phone number, email address and location.
  3. Click View Items on a supplier card to see the stock items linked to them.

Bulk File Actions

In the File Actions menu on the Inventory page:

  • Download Template: a blank CSV file with the right column headers.
  • Import from CSV: upload a filled-in CSV file. LoungeOS checks the columns and creates missing categories for you.
  • Export Movement Ledger: export stock movements for a date range as PDF or CSV, with your logo and business header.

9. Expenses, Accounting & Reports

Overview

LoungeOS records your expenses and turns daily sales and stock purchases into a double-entry accounting journal. Expenses and accounting are part of the Business and Pro plans.

  1. POS sales and stock-in purchases are recorded as you work.
  2. Sync Accounting Data turns them into balanced journal entries (debits equal credits).
  3. Your financial reports update: profit and loss, balance sheet and cash flow.

Expenses

  • Record expenses such as rent, utilities, wages or repairs, each with a category.
  • Common expense categories are made for you, and the setup wizard suggests more to tick.
  • Create your own categories at any time.

Double-Entry Validation

Every transaction in the ledger is recorded with balanced accounts. For manual journal entries, the total of the debit lines must equal the total of the credit lines: LoungeOS will not save an unbalanced entry.

Chart of Accounts (COA)

The chart of accounts sorts all financial records into five groups:

  1. Assets: Cash on Hand, Bank Accounts, Inventory Assets.
  2. Liabilities: Supplier Payables, Accrued Taxes.
  3. Equity: Owner's Capital, Retained Earnings.
  4. Revenue: Food Sales, Beverage Sales, Event Services.
  5. Expenses: Inventory Costs, Rent, Utilities, Staff Wages, Waste/Loss Expenses.

You can create your own sub-accounts under each parent account.

The Synchronized Entry System (POS & Inventory Sync)

Instead of typing sales and expenses by hand, let LoungeOS create the entries:

  1. Open the Reports or Accounting screen.
  2. Click Sync Accounting Data and choose the date range.
  3. LoungeOS reads all paid POS orders and recorded Stock-In purchases.
  4. It creates balanced journal entries:
    • For sales: debits Cash/Bank Account and credits Sales Revenue.
    • For purchases: debits Inventory Asset / Cost of Goods Sold and credits Cash/Accounts Payable.
  5. Your financial reports then include these transactions.

Financial Statements

LoungeOS produces three financial statements, for any date range, exportable to CSV or PDF:

  • Income Statement (Profit & Loss): sales revenue minus cost of goods sold (COGS) and operating expenses, with net profit and profit margin.
  • Balance Sheet: assets, liabilities and equity, checking that assets equal liabilities plus equity.
  • Cash Flow Statement: cash coming in and going out across operating, investing and financing activities.

Reports

  • Daily reports on every plan.
  • Weekly and monthly reports and email alerts on the Business and Pro plans.
  • Reports and exports keep working in read-only mode.

10. Offline Use, Sync & Read-Only Mode

Selling Without Internet

The Windows and Mac apps keep your business data on the computer too. If the internet goes down, the till keeps selling, and everything syncs automatically when the connection comes back.

The web app and the Android app need internet. Phones and tablets on the same Wi-Fi as a Windows or Mac till can still use the desktop app through their browser (local network).

The 7-Day Offline Limit

  • A Windows or Mac till can sell offline for up to 7 days without syncing.
  • During the last 2 days, a warning reminds you to reconnect.
  • After 7 days without syncing, the till becomes read-only until it reconnects. Connect it to the internet and it syncs and sells again.

What Read-Only Means

  • Still works: past orders, reports, printing and exports.
  • Paused: new sales and edits.

When a Subscription Ends

When a subscription ends, LoungeOS becomes read-only, on the web and on tills, until you renew it at account.loungeos.app. Nothing is ever deleted: your data is still there when you renew.

11. Plans, Billing & Your Subscription

Free Trial

Every plan starts with a 14-day free trial with Business features. No payment up front.

Plans

All plans have the same features in every currency.

  • Starter: US$10/month or 6,000 FCFA/month. 2 users, 2 devices. POS, inventory, receipts and daily reports.
  • Business (most popular): US$25/month or 15,000 FCFA/month. 5 users, 5 devices. Everything in Starter, plus expenses, accounting, shifts and cash control, weekly and monthly reports, and email alerts.
  • Pro: US$50/month or 30,000 FCFA/month. Unlimited users, 10+ devices, priority support and advanced admin. Several branches and payroll are coming soon.

See the pricing page for the full comparison.

Yearly Payment

Pay yearly and get 2 months free (you pay 10 months for 12):

  • Starter: US$100/year or 60,000 FCFA/year
  • Business: US$250/year or 150,000 FCFA/year
  • Pro: US$500/year or 300,000 FCFA/year

Prices show in FCFA in Cameroon and in US$ everywhere else.

Paying & Invoices

  • Manage your plan, invoices and payments at account.loungeos.app.
  • Pay with Mobile Money (MTN, Orange), card or PayPal. The amount is charged in FCFA; US$ prices are shown converted.
  • Invoices and receipts are sent by email.
  • Billing questions: billing@sigalix.com.

Upgrading or Renewing

To upgrade, change plan or renew, go to account.loungeos.app. If a subscription ends, LoungeOS becomes read-only until you renew, and nothing is deleted (see Offline Use, Sync & Read-Only Mode).

12. Backups & Your Data

Cloud Copy & Daily Backups

  • LoungeOS keeps a cloud copy of all your business data.
  • A full backup is made every day.
  • Uploaded logos, images and documents are stored securely in the cloud.
  • The Windows and Mac apps also keep a copy of your data on the computer, so the till keeps working without internet.

Replacing a Computer

If a till computer breaks or you replace it, install LoungeOS on the new computer and sign in with your LoungeOS account. Your data comes back from the cloud copy.

Sales made offline reach the cloud copy when the till syncs, so reconnect a till to the internet before you replace it whenever you can.

Your Data Is Never Deleted

If your subscription ends, LoungeOS becomes read-only until you renew. You can still see past orders and reports, print and export. Nothing is ever deleted.

13. System Customization & Settings

Overview

Change your settings in the Configuration dashboard. Access is limited to the owner and managers.

Financial Configurations

  • Currency Manager: the setup wizard asks for your currency. To change it, select another currency from the list or add a custom one. You can also choose whether the currency symbol goes before or after the number.
  • Tax Rules: turn tax calculations on or off. You can set several tax rates (e.g. VAT 19%, GST 10%, PST 5%) and choose a default rate for checkout.
  • Discounts: turn discount codes on or off, and set discount rules (a percentage or a fixed amount) that cashiers can apply to bills.

Branding Customization

  • Business Profile: your business name, logo, address, phone number and opening hours, first entered in the setup wizard. This information appears on receipt headers and financial reports.
  • Receipt Layouts: add your own header greeting and thank-you message, and a version of your logo to print on 58 mm and 80 mm thermal receipts.

Security Auditing & Logs

Select Activity Log in the sidebar to review every change. The log records:

  • Logins, logouts and failed sign-in attempts.
  • Staff accounts added, changed or removed.
  • Sales, manual stock adjustments and order cancellations (with the reason given).
  • Configuration changes.

Search the log by keyword, or filter it by date range and staff member.

Internal Support Tickets

If staff have a problem with equipment or the software, they can open a ticket:

  1. Open Support and click Create Ticket.
  2. Choose a priority (Low, Medium, High, Urgent) and a category (e.g. "IT Support", "Kitchen Equipment", "Facility Maintenance").
  3. Managers can assign tickets to team members, update their status (Open → In Progress → Resolved) and add comments.

14. Troubleshooting & Frequently Asked Questions (FAQ)

Q: Do I need a key or a code to start the Windows or Mac app?

A: No. Install the app, open it and sign in with your LoungeOS account. That is all: there are no keys or codes to copy.

Q: How do I create a LoungeOS account?

A: Go to app.loungeos.app. Sign-up is on the sign-in page. Create your account with your email and a password, or click Continue with Google. A setup wizard then configures your business, and every plan starts with a 14-day free trial with Business features, with no payment up front.

Q: Which Mac download do I need?

A: Open the Apple menu > About This Mac. If it shows an Apple chip (M1 or later), download the Apple Silicon version. If it shows an Intel processor, download the Intel version.

Q: macOS says LoungeOS cannot be opened. What do I do?

A: The Mac app is not yet notarised by Apple, so macOS asks you to confirm the first time. Open System Settings > Privacy & Security and click Open Anyway. You can also right-click the app and choose Open.

Q: Android does not let me install the app. What do I do?

A: When Android asks, allow installing apps from your browser or files app, then open the downloaded file again. The Android app needs Android 6.0 or later, Chrome and an internet connection.

Q: What happens if the internet goes down?

A: The Windows and Mac apps keep selling without internet and sync automatically when the connection comes back. After 7 days without syncing, the till becomes read-only until it reconnects, and a warning shows during the last 2 days. The web app and the Android app need internet. See Offline Use, Sync & Read-Only Mode.

Q: What happens when my subscription ends?

A: LoungeOS becomes read-only, on the web and on tills, until you renew at account.loungeos.app. You can still see past orders and reports, print and export. Nothing is ever deleted.

Q: How do I change my plan or pay for my subscription?

A: Go to account.loungeos.app. You can pay with Mobile Money (MTN, Orange), card or PayPal. The amount is charged in FCFA (US$ prices are shown converted), and invoices and receipts are sent by email. For billing questions, write to billing@sigalix.com.

Q: How do I add my staff?

A: Invite each team member by email from Staff and choose their role. They sign in with their own LoungeOS account. On a shared till, staff can also use a quick PIN. See Staff, Roles & Permissions.

Q: Is my data backed up?

A: Yes. LoungeOS keeps a cloud copy of all your data and makes a full backup every day. Uploaded logos, images and documents are stored securely in the cloud. The Windows and Mac apps also keep a copy on the computer.

Q: The Windows or Mac app shows a "Database Locked" (SQLITE_BUSY) warning. How do I fix it?

A: This happens if more than one copy of LoungeOS tries to write to the database at the same time. Make sure only one LoungeOS window is running on the computer. If the app freezes, open the Task Manager (Windows) or Activity Monitor (macOS) and end any duplicate LoungeOS processes.

Q: Why aren't beverage orders appearing on the Kitchen KDS screen?

A: LoungeOS routes orders by category. Check the category settings under the Categories tab. Drink categories (such as Wine, Soft Drinks or Cocktails) should have the "This is a food category" box unticked. This sends them to the Bar Display System (BDS) instead of the Kitchen Display (KDS).

Q: How can phones and tablets connect to a Windows or Mac till over Wi-Fi?

A: Phones and tablets on the same Wi-Fi network can use the desktop app through their browser. Make sure the till computer is connected to your Wi-Fi router and find its local IP address (e.g. 192.168.1.15). Check that the computer's firewall allows incoming connections on port 2304. On the phone or tablet, open the browser and go to http://192.168.1.15:2304.

Q: An uploaded image is not displaying on the POS product grid.

A: Check that the image is under 5 MB and in a standard format (.png, .jpg, .jpeg or .webp). Images are stored in the cloud, so make sure you were connected to the internet when you uploaded it, then upload it again if needed.

Q: How do I change the default currency symbol?

A: The setup wizard asks for your currency. To change it later, sign in as the owner or a manager, open Configuration, click the Financial settings tab and go to the Currency section. Select your currency from the list or click "Add Custom Currency". Once it is the default, menus, reports and receipts show the new symbol.

Q: Why are my financial statements showing zero values after processing sales?

A: POS sales do not write directly to the accounting ledger, so the till stays fast. To fill your financial statements, go to Reports or Accounting and click Sync Accounting Data. When the sync is done, sales and purchases become journal entries and your financial statements update.
